Professional Meeting Critique
Project Beef USA Website Planning & Redevelopment Meeting
During my internship I worked diligently to assist in the redevelopment of the Beef USA website, specifically the government affairs portion. About half way through my internship, the NCBA corporate headquarters’ technology and website planning team came to Washington, D.C., to have a website plan meeting. The objective of the meeting was to update all team members on each area’s progress. The environment of the meeting was quite nice because the meeting was held in more of a discussion, round-table style. The conference room that housed the meeting had plenty of room for papers, laptops and access to beverages due to the meeting lasting all day. The room also gave the participants access to the Internet and a large computer screen, so viewing of website designs was available to all participants. The large screen was conducive for reading and allowed all participants to see new features work on the website. This great visual gave participants a great presentation of the website and improved discussion. Since the meeting was focused on the website it was wonderful to see the new design on a computer screen rather than on paper.
The meeting overall ran on the schedule mapped on the agenda, which specifically means it started on time and ended on time. Even though the meeting did run exactly on time, all the items were completed and the meeting actually ended early. The overall atmosphere was professional and all participants were dressed in business casual, which allowed for all day comfort and less strict conversation. I enjoyed how the meeting was ran through discussion and not structured only off the agenda. Since the meeting was structured to follow discussion rather than an agenda, parliamentary procedure was utilized. Parliamentary procedure was not needed during the meeting because no votes were taken, only discussion took place. Everyone that was in attendance did participate in discussion, as well as myself. Throughout all the participants it would be hard for an outsider to identify the leader due to the discussion atmosphere of the meeting. However, the participants could tell the leader, Mike Deering, because he led discussions and made sure the planning discussion staying on tract.
The meeting was overall very productive and I would do nothing to improve the meeting. I feel that all the objectives of the meeting were meet and the website timeline was improved. The website planning was very successful and allowed all of the redevelopment teams to be on the same page. It was a great utilization of meeting time, space and participant views.
